A one-page AI acceptable-use policy you can copy, fill in and have staff at small businesses (and volunteers at churches) sign: approved tools, prohibited data, human review, disclosure and incident reporting.
Get Your Free Cyber & AI Risk Score →Talk to Our TeamA one-page AI policy tells staff at small businesses (and volunteers at churches) five things: which AI tools are approved, what data never goes into AI, who reviews AI output before it is used, when AI use must be disclosed, and how problems are reported. Copy the template below, fill in the blanks and have everyone sign it. It was written by Vital Integrators, an Acadiana-based IT and cybersecurity provider that has earned the CompTIA Security Trustmark+.
[Organization name] AI Acceptable Use Policy. Effective date: ________________. Policy owner: ________________.
1. Purpose and scope. This policy sets how [Organization name] uses artificial intelligence (AI) tools. It applies to all staff, contractors, and (where applicable) volunteers who use AI for any work on behalf of [Organization name], on any device.
2. Approved tools. Only these AI tools may be used for work, and only through accounts managed by [Organization name]:
3. Data that never goes into AI. Do not type, paste or upload any of the following into any AI tool, approved or not:
4. Human review. A person must read and check every AI output before it is sent, published, filed or used to make a decision. The person who uses the output is responsible for its accuracy. AI is never the final decision-maker on hiring, discipline, finances, legal matters or anyone's care.
5. Disclosure. Tell the recipient when content is substantially produced by AI and is presented as personal advice, pastoral care, a professional opinion or an official statement. Do not use AI to impersonate a real person's voice, image or writing.
6. New tools. Only ________________ (name or role) may approve a new AI tool, plugin, browser extension or AI feature inside existing software. Ask before you sign up, even for a free trial.
7. Reporting problems. If prohibited data goes into an AI tool, an AI output causes harm, or you see a suspicious AI-generated message, report it right away to ________________ at ________________. Reporting quickly is expected and will not be punished.
8. Review. The policy owner reviews this policy every six months and whenever a new tool is approved or an incident occurs. Next review date: ________________.
9. Acknowledgment. I have read this AI Acceptable Use Policy and agree to follow it. Name: ________________ Signature: ________________ Role (staff, contractor, or volunteer where applicable): ________________ Date: ________________
Small businesses use AI for proposals, marketing, customer support and operations. Keep customer lists, invoices, payroll, vendor contracts, HR files and proprietary work product out of consumer AI tools. Give staff company-managed business or enterprise accounts only, turn off training on your data, and name one policy owner who approves new tools. Pair this written policy with the free instruction files at Vital AI Safeguards so the tools themselves follow your rules.
Churches and nonprofits often have volunteers using personal AI accounts to write newsletters, sermon notes and donor letters. Keep prayer requests, counseling notes, giving records, children's ministry data and background checks out of every AI tool, and give volunteers an approved account to use instead. To make the AI tool itself follow these rules, add the free instruction files from Vital AI Safeguards. They are a companion to this policy, not a replacement for it.
Schools should treat student information as off-limits for AI tools unless the district or school has a signed agreement with the vendor that covers student data. Keep the Family Educational Rights and Privacy Act (FERPA) in mind: names, grades, behavior records, IEPs and health information should not be pasted into consumer AI tools. Have your administration and legal counsel review the policy before staff and students use it.
A template sets the rules. Making them work means setting up approved accounts, data settings, access controls and staff training. Five things: which AI tools are approved, what data never goes into AI, who reviews AI output before it is used, when AI use must be disclosed, and how staff report a problem. Add who approves new tools, a review date and a signed acknowledgment.
Not for company or ministry data. Free consumer accounts are managed by the individual, not the organization, and may use what you type to improve the product. Approve business or enterprise accounts that your organization controls, with training on your data turned off.
Yes — if staff use ChatGPT or similar for email, proposals, marketing or support. Customer and employee data must stay out of personal AI accounts.
Yes, if staff or volunteers use AI for sermons, newsletters, emails or administration. Churches hold sensitive information such as prayer requests, counseling notes, giving records, children's ministry data and background checks. A policy keeps that data out of AI tools.
This page is a written acceptable-use policy for people to read, sign and follow. The free AI Safeguards files at vitalsecured.com/ai-safeguards are instruction files you paste into AI tools so the tool itself follows your rules. Most organizations should use both.
Every six months, and any time you add a new AI tool, change vendors or have an incident. AI products change their features and data terms often.
